Sharepoint Calendars and Exchange

Asked By: Jefferson    Date: May 24    Category: Sharepoint    Views: 2987

Looking for a little advice.

We have 12 conference rooms that we would like to use sharepoint to
manage. Currently, we have these calendars as resources in Exchange
2003. When someone wants to create a meeting, a request is sent to the
room, and certain delgates can approve or deny (by pressing one
button). We would like this ability in Sharepoint but I am not sure
how to do it.

I know how to create a calendar, but that doesnt help because everyone
has permission to edit. I know how to link to the Calendar in Exchange
through a web part but that doesnt help because you can not request a
meeting through Outlook Web Access. Does any one know of a web part
that allows you to send meeting requests? If this exists it will
possibly fix my problem.

What if you require content approval on the calendar? Users could
create an event which wouldn't be publicly visible on the calendar
until the list administrator approves the event.

How do you do Content Approval on a Calendar? I am
assuming you can set an alert to appear when something is added to
the calendar.

calendar  is just another SharePoint list, so you'll be able to go
into "Modify settings and columns" and "Change general settings" to
require content approval. There's also a help  link on that page for
more information about content approval, which can probably help you
out with the specifics.

We set up a page for conference  rooms that takes advantage of the process we had in place for delegates, but brought it into SharePoint..

Document Library - Outlook Forms - with a OFT file pre-populated with the conference room information
Picture Library - Floor Plans - for a thumbnail and large view of where the conference rooms are on each floor
List - Conference Rooms - with all the details for each room.

We then link  them together through connected Data View Webparts, so that when you click on a conference room it shows you the floor plan and details, and includes a calendar  icon next to it that links to the OFT for that conference room. We also included an OWA web  part to view the current day calendar for the conference room. Users have really enjoyed this page as they used to get confused with the features of each conference room while booking them in Outlook, because Outlook doesn't show you any of the features.. Using this page they are able to see how many people fit in which rooms, and what resources  (projectors etc.) are available in each room.

Is this something that you have documented that you could share with the group? I understand some of what you're doing, but would prefer the "Conference Rooms for Dummies" version if available.
