Send Alerts to SharePoint Permission Group

Asked By: Mohini    Date: Nov 06    Category: Sharepoint    Views: 20839

It seems only domain accounts/groups are available in the people picker
when I try to create an alert. Is there any way I can set up an alert
for a whole SharePoint Permission Group?

There is no email address for a SharePoint group. You may be able to pick
an AD group, if it has a corresponding email address which is then aliased
to a list...

Yeah, that is what I have figured too.

The custom workflow can select a permission  group as the email recipient
but the alert  can not. Very disappointing.

However, you can mail-enable a SharePoint group.

Could you elaborate on this??????

If you go into the settings for a given group, (select the group  and then
Settings>Group Settings) you'll find a setting to Create an e-mail
distribution group for this group. Select this. You will then likely need to
go into your Central Administration and actually approve the group before
you can use it. This is done from the Operations tab, Approve/Reject
Distribution groups.

Of course this approach requires AD and Exchange Server, since what's
happening behind the scenes is that an Exchange Distribution group  is
being created for the members of the SharePoint group...

You can try sharepoint  alert reminder, which is designed to send  alert
reminder emails to appointed user or group. It maybe helpful to you,
just have a try.

In that case I would create an alert using JungleBell - a SharePoint reminder and alert tool from EnovaPoint. This might sound weird considering SharePoint has build it alerting capabilities and workflows, but if you ever tried to use them, you will know that they are not very simple to adapt to some cases.
