Meeting Workspace

Asked By: Daniel Mclean         Date: Oct 03, 2009      Category: Sharepoint      Views: 330

I want to manage meetings on the site, showing a list of previous and
future meetings with the corresponding meeting details such as agenda,
documents, action items, etc. Clicking on the meeting name will open
the meeting details. Currently, I only can see one meeting at a time
and its details. How can I create this meeting view? I could not
configure meeting workspace to show the list - only the meeting details
page.

This is how we do it: we enter new meetings in the calendar for the team site
(which has a meeting  workspace created below it). When asked whether a meeting
workspace should be used for the meeting, we connect to the created meeting
workspace. This works fine, and all the meetings that use this workspace  show up
in the left menu of the meeting workspace.

This works great. However, I have a few questions I'm
hoping you may be able to answer:

1. Is there a way to send an invitation to the attendees from
Sharepoint?
2. Which webpart can I use to capture the minutes of the meeting?
3. If I set up a repeat meeting, it won't allow any other meetings to
use the same workspace. Is this correct?

I believe that it does not work to send an invitation from Sharepoint. But it
works to use Outlook for managing the meeting  and have the participants invited
that way, and link the Outlook meeting to a meeting workspace. I believe that is
the intended use.

As for minutes, there is no particular web part for this. Decisions, tasks are
two that can be used to document the meeting. Otherwise you can always create  a
Minutes list  and add the web part to the workspace. We use Word documents  for
documentation ourselves.

And as for repeated meetings, I know that I had some problems when I tried it
out some time back. Or at least it didn't work according to my requirements.
