Looking for easy way to "move" documents within SharePoint

Asked By: Aaditya    Date: Jul 12    Category: MOSS    Views: 4474

I have a scenario where we'd like end users to have a simple way to
move documents from one document library to another. The document
libraries are located in seperate site collections. I know of
the "Send To" option and the ability to define a custom
destination...but that just makes a copy of the document and then has a
link back to the source document. I want the document removed from the
original location and moved to another. Preferably, keeping all
metadata intact (Modified, Modified By, etc...).

Any suggestions on ways to accomplish this? Should we look at third-
party tools or is there ways out of the box? We are running MOSS 2007
with Office 2003.

I don't know if you need this for users  or not, but if you are an admin, you can
click on "Site Actions - site  Settings" and in the site settings go to "Manage
Content and Structure." From here you can move  items to different document
libraries. Select the files you want moved, and then from the "Actions" menu
near the top select move. This will bring up a dialog window asking where you
want the files moved  too. I do believe that this option  is limited by
permissions though, but I'm not an expert. I have used this before and it keeps
everything intact, metadata and all.

This looks to be a good option  if I wanted to move  documents within
the same site  collection. I actually need to allow them to move
documents to another site collection all together.

yep, my ADD kicked in and I missed that part, sorry. I hope someone else has an
option for you.

Setup both source  and destination sites as Network Places on your local drive
(when using URL for Network place do not include '/default.aspx")
Open Windows Explorer on your local drive (right click Start-->Explore)
Scroll to bottom of folder list and expand Network Places
Expand destination site  (do not click on name, just expand to show destination
document library  name)
Navigate to source site
Expand your source site
Click on library name of source documents
All files will appear in main window
Highlight files you want to move
Right click selection and choose move  or Copy
Right click on destination library and click Paste
If you have "identical" metatags in both libraries the metatagging will copy
over as well but must be identical

All documents  in new library will show the move date as the "Created" date and
will show you as last modifier. That's the only gotcha. If you have a lot of
docs you might just want to get this started during down time and check it

Have you considered "Explorer View"? You can drag-and-drop from one window
to another. You may wish to make a link to the destination available (e.g.,
in the Quick Launch Bar) for one-click exploring.
