List Lookup field that displays user entries

Asked By: Krista    Date: Sep 04    Category: Sharepoint    Views: 1772

This seems like a pretty simple question but I can't find the answer
anywhere. I have a custom list and I want to add a category field
where the categories are entirely down to the user. Ideally this would
work as a dropdown field with the option to add a new category if
there was nothing appropriate in the dropdown. The new entries would
be dynamically added to the dropdown ready for the next list item. I
have played around with Lookup fields but (by default anyway) a Lookup
cannot look up itself. Oo er.

If anyone knows the answer to this, even if it's 'can't be done' I
would be grateful. I know users could maintain a seperate list of
categories and then the list could look that up but it's more
complicated then I would like.

This can certainly be done out of the box in both WSS v2 and WSS v3.
Have a look at the Choice field. Not only can you optionally specify a
set of values that the user  can choose from, you can allow the user to
add to the list. Sound like just what you are looking for.

The Choice field  is certainly useful, the only drawback is that new
entries added  to the Fill-in field are not added to the list  of
choices the next time a user  adds a document or list entry. My concern
is that if users add  their own entries  each time without seeing what
others have already added then we end up with a very loose doc type
list with several ways of describing the same type of document as
entered by different people, ie. Contract, Contracts, etc.

Before my company started this SP project we were Lotus Notes-based
and this sort of thing was easy to do, one of the very few things I
will miss about Notes I suspect.

This is one of the dozen "platform busters" for WSS v2. Not sure what
else to say. It is a data entry limitation. Of course, InfoPath has a

I wish I could say that WSS v3 has this kind of functionality out of the
box but it doesn't. The Choice field  works the same way it did in WSS
v2. However, I dropped this from the platform buster list  because WSS v3
lets us create our own custom  field types that could perform exactly as
you describe. So, it is no longer a data entry limitation but it does
require a developer to build the custom field type.

I have examples of how to build these in my book:
