Hiding the "add" prompts

  Asked By: Jill    Date: Oct 20    Category: Sharepoint    Views: 1630

an manage the GUI interface, but haven’t been into the html backend of Sharepoint (wss2.0 on Server 2003)

We have created a sub-web for our Board of Directors to read, discuss and post decisions on documents posted there as read-only. Of course the document web-part still has the “add new document” prompt. Even if a user is read-only, they can mistakenly think they can add a document. They are lead by WSS through the whole process of selecting a doc to upload and on the final [OK] get prompted for user/pwd which of course does nothing but keep asking.

Is there a way to hide the prompt in settings or (if we must) code?

I believe what you are asking for would require custom code. You could probably edit the webpart in FrontPage and an XSLT parameter to check a users role and if they don't have the rights, don't show the add  button. But again this requires editing on the backend.

My workmate is html  savvy so he can probably do that. A dumb question though … where is the web stored to edit it?

For instances of the document  library on the home page of a team site, you can go into Modify Shared Web Part and in the web part tool pane you can set the web part to not show a toolbar. That will remove the “Add New” links. This isn’t a complete solution, just helps ebb some of the issue.

Try this.

Let's say on the http://[VS]/sites/Site5/Shared%20Documents/Forms/AllItems.aspx?toolpaneview=2, append ?toolpaneview=2 as shown above and drop a hidden CEWP with the script below

<style>
#diidNewItem, #diidIOUploadItem, #diidNewFolder, #diidEditInGridButton, .ms-separator {
display : none;
}
</style>

This will hide  the upload, newFolder and Edit options in the toolbar. You can even hide the entire toolbar class.
For global changes, you can add  this script to the site definition too.

This is a great solution and is somewhat what I was elluding to.
However, this means that the add  document and other features will not
show up for ANY of your users. If this is the desired affect then you
can use this. CEWP is Content editor web part if you did not know.

Sure, the settings  of the Web Part can be configured to not show the
link. Use the following steps:

1. Choose Modify Shared Web Part from the smart menu in the top right
corner of the Web Part.
2. Change Toolbar Type from Summary Toolbar to No Toolbar
3. Click OK

The "Add new document" link should be gone.
