Document Library - expired/review/stale document notification

  Asked By: Corey    Date: Apr 13    Category: Sharepoint    Views: 2671

I created a document library with a custom upload form with key
metadata. One of the upload form fields is Document Review Date.
I'm looking for some sort of display, alert, color change, or
notification that will execute once the review date has passed.
Ideal solution would use color change, yellow one month prior to
review date, and red when date has expired.

Sorry, there is no provision for these kinds of views of document  libraries
in both versions of SharePoint. You do have e-mail alerts/subscriptions
when a document or library  contents have changed, but no colouring features.

I figured the color  option was a stretch. I
wonder if the is a way to have expired  date fields  to send an email
to a designated email address. That might work.

After playing around awhile, I came up with a simple solution. I
created a new view named Documents up for Review.

Documents up for Review (Edit View)

Filter
Review Date
file name w/edit

Filter
Review Date (Field)
is less than or equal to
[Today]

Totals
Review Date (Field)
Count

Folders
Show all documents without folders.

I took this view one step futher.

Editting this view with FrontPage 2003, I selected the Convert to
XSLT Dataview, then setup Conditional Formatting on the Review Date.

Field => Review Date
Comparison => Less than or equal to
Value => [Current Date]

Format Font
Color => Red, Bold, Character Spacing by 1

Now when users select the Documents up for Review the Review Dates
appear on bold red  font.
