Document folder tree vs search facilities

SPS users in my organization are not too familiar with
advanced search mecanisms involving categories or other
meta data. Therefore they insisted on a file tree as close
as possible to the file types they deal with, e.g. :

topic 1 = contracts
|
|-> subtopic 1 = group contracts
|
|-> subtopic 2 = templates

topic 2 = communications
|
|-> subtopic 1 = instructions
|
|-> subtopic 2 = recommendations

These topics are not categories.

We designed different document types to match these
topics, then assigned them as default for the respective
directories. We strongly feel we have to guide the end
users so that they would not have to choose amongst
several file types.

Then arises the problem of approbation on a
directory basis. We end up with a subdirectory per user,
like :

topic 1 = contracts
|
|-> subtopic 1 = group contracts
| |
| |-> User1
| |
| |-> User2
|
|
|-> subtopic 2 = templates
| |
| |-> User1
| |
| |-> User2
|
....

Now what is the easy way to search (and find) all the documents
related to a particular subtopic (or, at least, of a given file type)
without using the advanced search, which is confusing for the users ?
Does anybody know about a "search by profile" webpart ? Or do I have
to customize the files in the Portal directory in order to create
another Search function ?

Couldn't you use the categories  in your case ?
Seems the most easy  way for me.
