Document check in/out

Asked By: Shikha    Date: Dec 24    Category: Sharepoint    Views: 513

Talked to MS about this so here's the skinny. Check in/out and
upload are now disconnected as far as SPS goes. The workflow you need to
follow if you don't have Office 2003 or are editing documents that are
non MS ones is this:

1. Check Out document from browser
2. Copy document to local drive (right click, save target as)
3. Edit document
4. Upload document from browser (pick the document you're editing,
overwrite the one that's there)
5. Check in and add version comments

There's a couple of things you can substitute here like copying the
document right into the web folder or saving it to your Network place
from inside a MS product but it's generally all the same. The reason is
that once you copy it locally SPS doesn't know there's any connection to
that document anymore (and doesn't care).

One other thing, if you just upload the document without checking it out
then in will create a new version, but not allow you to enter version
comments. If you switch 4 and 5 and do the check in first then upload,
you'll end up with an extra version (1 from the check in which is the
same as the previous one and the new one from your local drive from the
upload).
