Customizing an alert

Asked By: Nand    Date: Feb 03    Category: Sharepoint    Views: 999

How can I create an single alert that has two conditions:
1. hold all alerts until (example: 9am)then give me the list
2. then, after 9am start sending me alerts as they happen.

Reason for this; I don't want to have alerts after 10pm sent to my PDA
while I'm asleep, but I do want them as they happen when I'm at work in
the morning.

Any ideas? Any third party products that enhance SharePoint alerts?

No way to do this in the Out of the Box alert  system in SharePoint. You can
setup your email server to hold  mail, but I think that would be a universal
setting for the whole server. You should also be able to control on the phone
when it goes out to get messages. You have a better chance of doing this on
your phone than doing it in SharePoint.

I know I can get a standard out of the box alert  to send daily alerts
at a specific time as part of the process.

If I knew more about doing workflows using sharepoint  Designer I'm
thinking I could create  a workflow that will send a message between
the daylight hours. I've just not played around with SPD workflows
enough.

Do you know much about SPD workflows? If so, maybe you can tell me
if such a thing is possible there.

At this point, you're not really working with SharePoint alerts, but with
emails sent by a workflow. You can issue a command to "wait until __" for a
workflow, and even make the time of day a criterion... but your workflow
will be triggered by changes to a list and you'll end up just disabling your
current alerts.

I guess you are saying that since an alert  is a workflow, it will be
disabled if I create  a SPD workflow on the same list? If so, then,
how about creating a workflow with conditions that say to hld all
alerts till x time then send them to recipients ........then have a
second action that will be based on contition that after a certain
time x, email all alerts  as they happen. Is that possible with
conditional workflows?

I've never heard anyone say that an alert  is a workflow (and if they did,
I'd probably hear someone else saying they were full of it :). I'm saying
that having both will be redundant, and the alerts  will never match what you
want to do here.

Essentially, if I were going to create  a workflow, I'd have one step that
says

If time in this range Then
Send email
Else
Wait until this time
Send email

I've got some good suggestions here and I'm going
to explore all of them.

I don't know of a way to do it with SharePoint alerts  itself but why
not setup a server side rule for your email account?

My sentiments exactly. Or, set up a rule in Outlook, or in the PDA
itself.
