Customize System Emails

Asked By: Leslie    Date: Aug 17    Category: Sharepoint    Views: 1201

When a person initiates an out of the box approval workflow, they receive an
email to inform them that the workflow has started, who the participants are,
and a link to the status of the workflow...

Is there a way to customize system email like this? How do you change the
subject line and the body of the email for example?

I don't have my system  up or I'd test this myself, but those emails
should be defined in markup in the 12 hive. If you take a small piece of,
say, a subject line  -- a part without any dynamic parameters -- and search
for that string in the file system, you should be able to find the XML or
CAML file that defines the content. A little browsing through the hive
might tell you as well, but plain old file system search will definitely get
you there. Let me know what you find.

To the best of my knowledge those emails  are hard coded in the workflow  .dll and
can't be changed without the source code. The text of some emails like alerts
can be found in XML files in the 12 hive, but I don't think these emails are
stored in that way.

Listen to the man with 33 letters after his name.

If you want to customize  aspects of a simple workflow, you might as well
just pick up SharePoint Designer (assuming of course that you have that
level of access to the site).

If I remember correctly this is done be editing the onet.xml
