Configuring index server

We are planning to implement Sharepoint portal in our company. We are
creating two servers one for document management and other for indexing. I
want to know how the index server is configured. We have five departments in
our company and want separate home page for submitting news announcements
etc ie, separte dashboard for each department. Without creating different
workspaces, is there any solution to implement all these departments in one

If you are saying that you want each department  to go to the same URL
but see different items, depending on which department they belong to...
The answer is yes it can be done. You simply need to create groups in AD
that reflect the 5 different departments and then use security
permissions on the web parts based on those 5 groups. Bear in mind
however, that it will probably be very slow in rendering because 4/5ths
of what is being rendered each time someone goes to the page, they never
actually see.

I would recommend using either sub-dashboards based on permissions or 5
different workspaces, each with QuickLinks to the other workspaces.

As for the indexer, it will simply have a workspace that indexes the
other server  and you would select "advanced" during Workspace
Definition. Then check "this is an index  workspace".

but the problem is we are having 22 companies and 5
departments so it is difficult to create 27 workspace in the server. At
present we are planning  to use two servers  one for indexing  and one for
search and document  management .my idea is to create a corporate portal  with
one workspace for 5 departments and for all other companies separate
workspaces. Does u have any suggestion? We have very little content sources.
Shall we go for any other deployment methods?
Can u please explain the use of index  server in this scenario? How can I
propagate the index server? I had created an index workspace
http://gitshajid/gitindex and I had given
destination workspace as http://gitintsrv/git how to
propagate this index server. How many index workspaces can I create in one
server? Are there any limitations for propagating?

You have to be careful here for the News and Announcements web parts.
Even if you create separate  sub-dashboards and you use the same News and
Announcements web parts, if one user modified the web part, every
department will see the change. I've tried this and this is what I've

And the answer here is to edit each web part's advanced settings "store the
following data" to have the first line contain a different location for that
dashboard's news  and announcements.

You could create a directory for each dashboard  under each dashboard or
under Portal Group\resources\[newdir]\[eachdashboard]. Kinda klunky, but it

You definitely want separate  workspaces for each separate company. The
problem you will have in putting them all on one server  is that each
workspace creates overhead on the server in terms of scheduled tasks
that run. MS does not support above 15 workspaces on a server for this
reason. You may find in your testing however, that the multitude of
workspaces work just fine on your server. You will just need to test
this before going to production.

As for the index  server propogating to the Portal/DM server, you need to
specify the destination when you create the index workspace. It will ask
you to "Specify the destination workspace address" in the advanced
properties. This is the URL of the server you are propogating the index
to. If you did not do that when you created the index workspace, you
will need to recreate it.
