Avoiding document duplication

Does anyone know how to avoid document duplication? In a test site we
set up, three different people posted copies of the same document in
three separate sites. Is there a way to use document links to point
to the original document instead of uploading the original to a
different location?

For each document, if you use the drop down menu, there is an option to
Submit to Portal Area. You have to decide where you want this document
to be published for everyone to see, meaning pick a location  in the
portal (not in a site) and import the Group Listing web part. When you
submit the document  to the portal, you have to select the location. The
only problem with this feature is that it creates a link in the Group
Listing web part and if the user does not have access to the site  where
the document resides, they will not be able to view the document.
Another downside is that it does not dynamically update if somebody
happens to delete or move the document from its original  location. If
this happens, the link is broken and the link has to be manually removed
from the Group Listing web part. I hope this answers your question.
